8 Sections Every RFQ Needs

Most buyers miss 2–3 of these. Missing sections cause quote delays, callbacks, and re-quotes that add 1–2 weeks to your sourcing cycle.

Section 01

Part Identification

  • Part number & revision
  • 2D drawing (PDF) + 3D CAD file (STEP/IGES)
  • Part name and intended application
  • Critical vs. non-critical dimensions flagged

πŸ’‘ Pro tip: Always include a STEP file β€” Vietnamese factories work faster from 3D models and you'll get tighter quotes.

Section 02

Material Specification

  • Material grade (e.g., 6061-T6 aluminum, 304 SS, A380 die-cast)
  • Acceptable substitutes (if any)
  • ROHS / REACH / material certificate requirements
  • Hardness or tensile strength spec (if critical)

πŸ’‘ Pro tip: Specify "or equivalent" where acceptable. Vietnamese factories often source superior raw material at lower cost than Chinese equivalents.

Section 03

Tolerances & Surface Finish

  • General tolerance (e.g., ISO 2768-m or Β±0.005")
  • Critical feature tolerances (call out individually)
  • Surface finish Ra value (e.g., Ra 1.6 ΞΌm / 63 ΞΌin)
  • Threading standards (UNC/UNF, metric M-series)

πŸ’‘ Pro tip: Over-specifying tolerances is the #1 cause of inflated quotes. Reserve tight tolerances (Β±0.001") only for truly critical fits.

Section 04

Quantity & Delivery

  • Sample/prototype quantity (usually 3–10 pcs)
  • First production run quantity
  • Annual forecast volume
  • Required delivery date (and flexibility)
  • Destination port or warehouse (US)

πŸ’‘ Pro tip: Include annual volume forecasts β€” Vietnamese factories offer better pricing when they can plan capacity. Even rough estimates help.

Section 05

Finishing & Coatings

  • Post-processing (anodize, powder coat, e-coat, zinc plate)
  • Color code (RAL, Pantone, or sample provided)
  • Coating thickness spec
  • Masking requirements (areas to keep uncoated)

πŸ’‘ Pro tip: For anodizing: specify hard coat (Type III) vs. decorative (Type II). Hard coat is tougher, used for wear surfaces; Type II is lighter.

Section 06

Quality & Inspection Requirements

  • Required certifications (ISO 9001, IATF 16949, AS9100)
  • Inspection documentation (FAIR, PPAP, CMM report)
  • Acceptable Quality Level (AQL) β€” e.g., 1.0 Major, 2.5 Minor
  • Sample retention period
  • Pre-shipment inspection: yes/no (Dewin's team can do this)

πŸ’‘ Pro tip: Ask for a First Article Inspection Report (FAIR) on first production run. Our on-the-ground team can inspect before parts leave Vietnam β€” at no extra cost.

Section 07

Packaging & Shipping

  • Packaging spec: bulk, individual bags, foam-lined cartons
  • Export carton weight & dimensions (for freight estimation)
  • INCOTERMS: FOB Vietnam port (recommended) vs CIF
  • Special handling: fragile, top-load only, etc.
  • Country of origin marking requirements

πŸ’‘ Pro tip: FOB Vietnam port is recommended β€” you control the freight, use your own forwarder, and can compare rates. It also clearly documents Vietnam origin for $0 Section 301 tariff qualification.

Section 08

Commercial Terms

  • Payment terms (Net 30, 50% deposit / 50% on shipment)
  • Quote validity period (suggest 30 days)
  • NDA requirement: yes/no
  • Preferred communication language & time zone
  • Technical contact name and email

πŸ’‘ Pro tip: Include a quote validity date β€” commodity prices fluctuate. Standard is 30 days; for large tooling quotes, ask for 60 days.

6 Mistakes That Inflate Your Quotes

Our team reviews hundreds of RFQs every month. These are the most common errors β€” and how to fix them.

No 3D CAD file included

Impact: Factory must assume geometry β†’ quotes are inaccurate by 20–40%

Fix: Always include STEP file alongside 2D drawing

Tolerance tighter than needed

Impact: Every extra decimal point adds cycle time and scrap rate

Fix: Only specify tight tolerances on true fit/function surfaces

Missing country of origin requirement

Impact: Parts may ship without origin marking β†’ US customs delay

Fix: State "Vietnam origin marking required for Section 301 exemption"

No annual volume forecast

Impact: Factory quotes job-lot pricing, not optimized production pricing

Fix: Provide 12-month forecast even if approximate

Vague surface finish spec

Impact: Factory defaults to cheapest finish β€” not what you wanted

Fix: Use Ra values and specify process (anodize Type II/III, powder coat, etc.)

Generic "ISO 9001 required" without documentation spec

Impact: You get the cert, not the documentation you need

Fix: List specific deliverables: FAIR, CMM report, material cert, COC
