8 Sections Every RFQ Needs
Most buyers miss 2β3 of these. Missing sections cause quote delays, callbacks, and re-quotes that add 1β2 weeks to your sourcing cycle.
Part Identification
- Part number & revision
- 2D drawing (PDF) + 3D CAD file (STEP/IGES)
- Part name and intended application
- Critical vs. non-critical dimensions flagged

Material Specification
- Material grade (e.g., 6061-T6 aluminum, 304 SS, A380 die-cast)
- Acceptable substitutes (if any)
- ROHS / REACH / material certificate requirements
- Hardness or tensile strength spec (if critical)
π‘ Pro tip: Specify "or equivalent" where acceptable. Vietnamese factories often source superior raw material at lower cost than Chinese equivalents.
Tolerances & Surface Finish
- General tolerance (e.g., ISO 2768-m or Β±0.005")
- Critical feature tolerances (call out individually)
- Surface finish Ra value (e.g., Ra 1.6 ΞΌm / 63 ΞΌin)
- Threading standards (UNC/UNF, metric M-series)
π‘ Pro tip: Over-specifying tolerances is the #1 cause of inflated quotes. Reserve tight tolerances (Β±0.001") only for truly critical fits.
Quantity & Delivery
- Sample/prototype quantity (usually 3β10 pcs)
- First production run quantity

- Required delivery date (and flexibility)
- Destination port or warehouse (US)

- Masking requirements (areas to keep uncoated)

- Acceptable Quality Level (AQL) β e.g., 1.0 Major, 2.5 Minor
- Sample retention period

6 Mistakes That Inflate Your Quotes

No 3D CAD file included
Impact: Factory must assume geometry β quotes are inaccurate by 20β40%
Fix: Always include STEP file alongside 2D drawing
Tolerance tighter than needed
Impact: Every extra decimal point adds cycle time and scrap rate
Fix: Only specify tight tolerances on true fit/function surfaces
Missing country of origin requirement
Impact: Parts may ship without origin marking β US customs delay
Fix: State "Vietnam origin marking required for Section 301 exemption"
No annual volume forecast
Impact: Factory quotes job-lot pricing, not optimized production pricing
Fix: Provide 12-month forecast even if approximate
Vague surface finish spec
Impact: Factory defaults to cheapest finish β not what you wanted
Fix: Use Ra values and specify process (anodize Type II/III, powder coat, etc.)
Generic "ISO 9001 required" without documentation spec
